Guidance on what to send, track, and receive from lenders on Submissions Brain

Advisers must be registered with Leeds Building Society prior to using Submissions Brain forms. Leeds Building Society only require that the company name, adviser’s name, and FCA reference are entered at the top of the Leeds Building Society Submissions Brain DIP form.

The Leeds Building Society DIP can be used to submit cases for Owner Occupation, Second Property and Buy to Let properties. The Leeds Building Society DIP is accessed and completed in the same way as other Submissions Brain forms, whether this is into Submissions Brain from Sourcing Brain (previously MortgageBrain Anywhere) or directly into Submissions Brain using a browser, or from the lender list within The Key. Once an adviser has completed a Leeds Building Society DIP form, they will be able to access the Send Form button at the end of the application form as shown.


Note: Being able to access a Send Form button from within the Submissions Brain form itself has been introduced initially for Accord, TSB, and the Leeds Building Society DIP forms, but it will be added to all other Submissions Brain forms as soon as possible.

Completing Leeds Building Society DIP to be ‘Ready to Send’

When the adviser clicks the Send Form button, Submissions Brain will check the Leeds Building Society DIP. If the DIP is not complete, a message box will appear stating this and requesting the broker to complete the mandatory fields from the Action List on the left-hand side of the screen.

The adviser clicks OK and is returned to the form, where they can access the Action List and finish completing the mandatory fields. Once all fields are completed, the adviser presses the Send Form button again.

Note: As with all Submissions Brain forms, the adviser can still close and save (and re-edit) the form as many times as they wish. They do not have to complete all fields all at once.

Submitting the DIP to Leeds Building Society

Once the Leeds Building Society DIP is complete, and the adviser has pressed the Send Form button, a different message box is displayed.

If the adviser clicks No, then he is simply returned to the Leeds Building Society DIP. The adviser can then choose to close and save the Leeds Building Society DIP and it will be stored on the Home Page until he is ready to submit it to Leeds Building Society.

If the adviser clicks Yes, Submissions Brain will display the following:


If the adviser clicks OK, Submissions Brain will save the form, and then send the Leeds Building Society DIP data to Leeds Building Society; whilst Submissions Brain is doing this, in a new browser tab, the following screen will be displayed.

N.B. If the adviser is using Google Chrome, Microsoft Edge or Internet Explorer, they may need to enable pop-ups for this to work.

If a new browser tab does not open, as in the example screenshot below showing Google Chrome, a warning may be briefly displayed showing that a pop-up has been blocked.

If successful, in the original browser tab, Submissions Brain will return to the Home Page in parallel with the adviser completing the DIP form within Leeds Building Society’s Mortgage Hub.

In the new browser tab, the adviser is taken to Leeds Building Society’s Mortgage Hub login page as shown. As noted on the pop-up message displayed by Submissions Brain (Lender Messages – Leeds Building Society AIP), there is a limited time (3 minutes) for the adviser to successfully login to the Leeds Building Society Mortgage Hub and continue to the progress of this form. This process for Leeds Building Society DIP is the same as for Accord and TSB, both of which have similar DIP forms on Submissions Brain.

The adviser should now enter their Username and Password for the Leeds Building Society Mortgage Hub; once logged in, the case details completed in Submissions Brain will be displayed as shown. As highlighted in the screenshot below, the Leeds Building Society Mortgage Hub confirms information about the case has been received and that the case can be continued within the Leeds Building Society Mortgage Hub by clicking Create case.

Although most of the information for a decision will have been passed from Submissions Brain into the Leeds Building Society Mortgage Hub, there are some fields, which for technical or business reasons, must be captured within the Leeds Building Society system. Once this has been done, the case can be progressed within the Leeds Building Society system, for example to get an illustration or to get a decision.


Any changes to the case, checking for tracking updates, progression to a full mortgage application, submission of documents etc. is all done within the Leeds Building Society Mortgage Hub.

What is shown within Submissions Brain following submission to Leeds Building Society?

Once the Leeds Building Society DIP has been successfully submitted from Submissions Brain to Leeds Building Society, the Leeds Building Society DIP will appear in the Submissions Brain Home Page as shown below. The status will be Sent, and the description will be Data Submitted.

Clicking on the envelope icon on the left-hand end of the row will cause Submissions Brain to display the information as shown in the screenshot below. Following a successful submission of DIP information from Submissions Brain to Leeds Building Society’s Mortgage Hub, all further actions for that case will take place within Leeds Building Society’s Mortgage Hub.

DIP submission issues from Submissions Brain to Leeds Building Society

In exceptional circumstances, if the DIP information was not successfully transmitted to Leeds Building Society’s Mortgage Hub or for any reason the case was not created within the required time, as noted in this information, if the DIP information needs to be submitted to Leeds Building Society’s Mortgage Hub again, a Resubmit option is available from the Actions button, as shown in the screenshot below.

If the Resubmit option is selected from the Actions button pop-up menu, the Leeds Building Society DIP will be re-opened within Submissions Brain. As with the initial completion and submission of the DIP to Leeds Building Society, this can be simply done by clicking on the Send Form button at the bottom of the Leeds Building Society DIP.

Submissions Brain will follow the same sequence as previously described for the initial submission of the DIP to Leeds Building Society. If necessary, it is possible to amend the data in the Leeds Building Society Submissions Brain DIP before attempting resubmission to Leeds Building Society’s Mortgage Hub.

Note: This resubmission of Leeds Building Society Submissions Brain DIP information to the Leeds Building Society Mortgage Hub is only appropriate when the initial submission of data failed in some way, such that a Leeds Building Society Mortgage Hub case was not successfully created.

Unsuccessful submission of Leeds Building Society DIP due to communication error

Although very unlikely, if the initial connection and submission of the DIP information to Leeds Building Society fails due to a basic connectivity problem, the adviser will not be taken to Leeds Building Society’s Mortgage Hub login page. Instead, the adviser will see a pop-up error message pop-up box on the screen as shown below.

The adviser will click on the OK button to acknowledge the error message and it will disappear. The adviser will be returned to the Leeds Building Society Submissions Brain DIP form, where he can simply retry the Send Form button as it could be a simple, temporary connection problem. Alternatively, or if the error persists, the adviser can save and close the Leeds Building Society Submissions Brain DIP form, returning to the Submissions Brain Home Page.

The Status and Description in the home page would read Status: Ready to Send, Description: Form complete and valid. The adviser then has the option of resubmitting again at a later stage. The simplest way to try resubmitting the DIP information to Leeds Building Society is from the Actions button pop-up menu, selecting the Edit option. The Leeds Building Society DIP will be re-opened within Submissions Brain.

As with the initial completion and submission of the DIP to Leeds Building Society, this can be simply done by scrolling to the bottom of the Leeds Building Society DIP and clicking on the Send Form button. Submissions Brain will follow the same sequence as previously described for the initial submission of the DIP to Leeds Building Society. If necessary, it is possible to amend the data in the Leeds Building Society Submissions Brain DIP before attempting resubmission to Leeds Building Society’s Mortgage Hub.

Unsuccessful submission of Leeds Building Society DIP – Iress error – Lender Connect business error

Although very unlikely, if the initial connection and submission of the DIP information to Leeds Building Society fails due to a technical problem, the adviser will not be taken to Leeds Building Society’s Mortgage Hub login page. Instead, the adviser will see an error page displayed in a new browser tab, like the example shown below.

Technical limitations on pre-population of data from Leeds Building Society Submissions Brain DIP to Leeds Building Society Mortgage Hub

Although most of the information for a decision will have been passed from Submissions Brain into the Leeds Building Society Mortgage Hub, there are some fields, which for technical reasons, in common with other integrations to Leeds Building Society’s Mortgage Hub, must be captured or enhanced within the Leeds Building Society system.

For example, income from employment for employed applicant(s) can be entered into the Leeds Building Society Submissions Brain DIP, but if the applicant(s) have an income type which is, for example, self-employment or from being a director, then this income information must be entered within the Leeds Building Society Mortgage Hub; this is clearly stated in on-screen text within the Leeds Building Society Submissions Brain DIP form.

Employed - Fixed Term Contractor income detail

For applicant(s) that have employment income that is entered as ‘Employed’ income, with ‘Fixed term contractor (PAYE)’ as the ‘Employment contract’, as long as the applicant’s tax status is classed as ‘Contracted PAYE’, then this income is fully captured in the Leeds Building Society Submissions Brain DIP. However, if the applicant’s tax status is not classed as ‘Contracted PAYE’, then this income must be entered within the Leeds Building Society’s Mortgage Hub. In this situation, the following ‘dead stop’ text will appear on screen.

As per this on-screen text, the Employment status type should be amended to a more appropriate value, such as Sole trader (Self employed). As shown below, when this amendment is made, the dead stop disappears and as shown in on-screen text, then this income information must be entered within the Leeds Building Society Mortgage Hub.

Applicant(s) over 70 years of age

Subject to meeting criteria and lending policy, applicant(s) that are over 70 years of age can apply to Leeds Building Society. However, for the application to be correctly assessed, even if the applicant is not actually retired, the ‘Is the applicant retired?’ question must be answered ‘Yes’. As shown below, if ‘No’ is selected, the following dead stop text will appear on screen.

As shown below, when the ‘Is the applicant retired?’ question is answered Yes, the dead stop disappears.


The applicant’s income from employment(s) and/or any other income can be entered in the relevant sections of the Leeds Building Society Submissions Brain DIP.
