A guide on getting to various admin functionalities within The Key

Managing Contacts

The Key can store details of the following categories of Contact

  • Accountant

  • Estate Agent

  • Introducer

  • Mortgage Club

  • Network

  • Packager

  • Provider - used to store both lenders and insurers

  • Solicitor

  • Surveyor

Creating a new Contact

From Admin select Contacts:

Select the type of Contact to be added from the drop down list (highlighted yellow) then press the Create New Contact button (highlighted green) e.g. Accountant.

Complete the required contact details for the contact, in this case an Accountant.

Access to Contacts can be restricted to a specific Branch (if The Key is configured to work using Branches).

It is also possible to record in this form that this contact introduces business and is paid a commission for doing so. Activate the checkbox adjacent to Introducer and complete the required commissions that are to be paid. This can be on percentage or fixed amount or a combination of both.

Editing an existing Contact

Select the Contact Type to be edited, The Key will display all those contacts that are recorded in the group.

Highlight the required Contact and press the Select button. The main Details tab will open ready for editing.

Update the record and then press OK.

Deleting an existing Contact

Highlight the required Contact and press the Delete button, confirm that this contact is to be deleted by pressing Yes.

The Contacts page will refresh.

Viewing Work linked to a Contact

Highlight the required Contact and press the View Work button.

A list of clients and their associated products is displayed, select the required record and press Open to display the Product Record concerned:

Online Access to the Introducer Portal

A contact who is also an Introducer can access the Introducer Portal. Activate the Online Access tab and enter a user name (alternatively use the link Insert Email Address (yellow highlight) to set the user name to the introducer's email details recorded in the Main tab (green highlight).

Press the Reset Password and Send Login Details button. The Introducer will receive separate emails confirming the User Name set and a one-time password together with a link to the Introducer Portal Login page. Before access is provided to the Introducers Portal page the one-time only password must be replaced with a new password known only to the Introducer.

Resetting an Introducer Password

Should the introducer forget their password this page can also be used to perform a Password Reset. Press the Reset Password and Send Login Details button. The Introducer will receive separate emails confirming the User Name set and a new one-time password together with a link to their Introducer Portal Login page. Before access is provided to the Introducers Portal page the one-time only password again must be replaced with a new password known only to the Introducer.

Blocking Access to the Introducer Portal

By default the Introducer will always have access to their Portal page. To remove access to the portal activate the check box Block Introducer Access. To reinstate access to the Portal for the Introducer, deactivate the check box and press Reset Password and Send Login Details button (disabling Portal access automatically cancels the introducers password so a new password needs to be generated).
